PSA Sync: Integrating ConnectWise & Autotask with Your Platform

How to sync your existing PSA (ConnectWise Manage, Autotask, HaloPSA) with a unified platform without disrupting operations.

Many MSPs considering a unified platform have years of data and established workflows in ConnectWise Manage, Autotask, or HaloPSA. A rip-and-replace migration is risky and disruptive. PSA synchronization lets you adopt a unified platform's capabilities while maintaining your existing PSA as the system of record during the transition.

Bidirectional Sync Architecture

The ideal PSA sync is bidirectional: tickets created in either system appear in both, status updates flow both ways, time entries sync automatically, and contact/company data stays consistent. This means your team can work in the new platform while clients, billing, and reporting continue to operate through your existing PSA.

Field Mapping

Every PSA has different field names, custom fields, and data structures. A good sync engine lets you map fields between systems: ConnectWise "Priority" maps to your platform's "Priority," but the values might differ (CW uses 1-4, your platform uses Low/Medium/High/Critical). Custom fields need explicit mapping or they'll be lost in translation.

Conflict Resolution

When the same ticket is updated in both systems simultaneously, which update wins? Common strategies:

Last write wins: The most recent update is kept regardless of source. Simple but can lose data.

Source of truth priority: One system is designated as authoritative for specific fields. The PSA is authoritative for billing fields; the unified platform is authoritative for technical fields.

Manual merge: Conflicts are flagged for human review. Safest but requires attention.

Migration Path

Phase 1 (Months 1-3): Sync enabled. Both systems active. Team uses the unified platform for daily work; PSA handles billing and client-facing communication.

Phase 2 (Months 3-6): Gradually move client communication to the unified platform's client portal. Billing sync handles invoicing from unified platform time entries.

Phase 3 (Month 6+): PSA retired or reduced to billing-only role. The unified platform is the primary operating system.

This graduated approach minimizes risk and lets your team adapt to new workflows without the pressure of a hard cutover date.
